Adecco in partnership with our client is currently hiring a full-time reliable and self-motivated Office Administrator with a background in the HVAC industry to join their growing team in Scarborough, ON. In this role you will be responsible for managing day-to-day office operations, ensuring efficiency and effectiveness in our administrative processes, and supporting both the management and technical teams.
Responsibilities:
Quotations and Proposals - prepare and email quotations and proposals
Contracts - draft and submit contracts to customers
Email Marketing - create and send email blasts to customers
Vendor Relations - source quotes for equipment, materials, and parts from suppliers
Client communication - maintain clear and professional communication with clients
Clerical duties - handle filing, respond to emails, and prepare documents
QuickBooks Online - Utilize QuickBooks for financial management
Administrative support - assist the owner and office manager with daily tasks
Prepare job packages for new projects
Generate WSIB Clearance Certificates and obtain Insurance Certificates
Qualifications:
Must be legally eligible to work, and reside in Canada
5 years in a similar administrative role
3 years in a similar HVAC role
Superior oral and written communication skills
A passion for delivering exceptional customer skills
Ability to manage multiple tasks concurrently with attention to detail
QuickBooks Online expertise
Proficient with Google Drive and Microsoft Office
Skilled in social media management to enhance company exposure
