Adecco is currently looking for Executive Assistant for a 2-month contract, to support the upcoming requirements of our public sector client. This opportunity is on-site for the duration of the contract. The candidate must hold a valid reliability level security clearance.

  • Pay rate: $30-35/hour

  • Location: East-Ottawa, ON

  • Contract Length: 2 month

  • Job type: Contract with Possibility of Permanence / Extension

Responsibilities:

  • Manage the CEO’s calendar including briefings (as required) for internal and external meetings;

  • Undertake registration activities required for CEO attendance at events and conferences

  • Plan, organize, schedule, and arrange for flights, visas, accommodation, transportation, and required insurance for domestic and international travel for the CEO;

  • Draft and proofread CEO correspondence, reports, and presentations;

  • Support logistics for CARE Canada team events, either virtual or office-based, as directed by the CEO;

  • Provide coverage for Manager, Governance Operations during leaves;

  • Provide comprehensive administrative support to the ELT, including calendar management, meeting coordination, and travel arrangements;

  • Assist with document preparation, presentations, and communication on behalf of the ELT;

  • Maintain a high level of confidentiality and discretion when handling sensitive information;

  • Handle the ordering of coffee, milk, and other refreshments as needed.

  • Implement and oversee office cleaning processes, ensuring a hygienic and welcoming environment.

  • Manage cleaning supplies, and remind employees of their responsibility to keep their work areas and shared spaces clean.

  • Accept incoming mail and packages, sorting and distributing them to the appropriate recipients.

  • Coordinate daily coverage for the reception and mail area, ensuring someone is available during office hours.

The Executive Assistant must meet the following mandatory requirements:

  • Background education in administration, support or a related field;

  • Proficiency with the full MS suite (outlook, word);

  • Minimum 3+ year experience in administrative responsibilities;

  • Bilingually fluent in both French and English would be considered an asset;

  • Experience working in not-for-profit environments would be an asset;

  • Experience working with CRM and basic finance software would be an asset;
